What you need is access to a giant bbq. Any camp sites close to Calgary with a big camp kitchen? You need to wrap them in tinfoil and slow cook them in it using old fashioned bbq briquettes. They burn slow enough that you won't risk burning them. You may want to give it a trial run to get the timing right, but that's what my Dad does for all our family reunions and other big family events.

For my wedding reception, I think the baked potatoes were baked in various friends'/families' ovens. I'm sure we must have had at least 250 done that way.

Ask some family friends to use their ovens, they don't have to supply the potatoes.

Umm, am I to infer that the plan is to BBQ 250 steaks from frozen for/at the dinner? Are the guests going to eat in shifts over the course of 4 hours or something?

I used Smugglers Inn for this very purpose years ago. The quality was terrific and the price very reasonable.

Had to pick them up IIRC, but just did so on the way to the function.

You could probably find tons of baked potatoes on Saltspring Island.
